5 Things That Decide Your Inspection Software

Every inspection software vendor publishes a feature list, and every feature list is designed to be impossible to lose against. Read three of them and they blur into the same page.

So this is not a feature list. It is the five things that actually decide whether the software helps you, and a specific test for each one that you can run during a trial.

1. Where the AI picks up

Almost every platform now has AI. That fact has stopped being useful information. What separates them is when it engages.

After you type is the common version. You enter a finding, and the AI improves the wording. Genuinely useful, and it saves the editing pass.

Before you type is the meaningful one. You speak or photograph the finding, and the software produces report content from it. There is no data entry step to improve, because the data entry step is what got removed.

2. Whether your comment library survives the move

Your library is the most valuable thing you own in software. It is years of wording that has survived client questions, agent pushback and the occasional contractor dispute. It is also the single reason most inspectors stay on software they have stopped enjoying.

Any platform will tell you migration is easy. The answers vary far more than the marketing does, and the difference between "we have an importer" and "we will rebuild your library for you" is several weekends of your life.

The parts of a house that generate the most report content are reliably the parts with the worst connectivity. Crawlspaces, basements, mechanical rooms, rural properties.

4. What the client and the agent actually receive

You are not the only user of your software. The buyer reads the report, and the referring agent reads it too, often faster and with more consequence for your next booking.

Most callbacks come from photographs that documented a defect without communicating it, and from summaries that made everything look equally alarming. Clear annotation, configurable summaries and a delivery format people can navigate do more for your reputation than any internal efficiency gain.

The agent side is worth its own attention. Repeat referrals drive a large share of inspection revenue, and most inspectors service that relationship by forwarding PDFs. A dedicated agent dashboard, where the agent has reports, agreements, scheduling and payment status without going through you, is fewer interruptions for you and a better experience for them.

Test it: send one trial report to a real client and one to a regular agent, and ask both whether it is better than what they get now. Believe their answer over your own impression.

5. What it costs once everything is added up

The subscription is rarely the biggest number, and comparing subscriptions alone is how inspectors end up paying more for less.

What did not make the list

Number of features, because it measures the marketing department rather than the product. Interface screenshots, because everything looks good in a screenshot. Install base, because popular and right are different questions, though popular does usually mean stable.

And integrations, unless you actually use the thing being integrated. An impressive integration list is only impressive if your business touches any of it.
